What is West Midland Police’s policy regarding the provision of a substantive response to correspondence; specifically concerning the target response times.

Responding to letters and emails


The force policy is to respond to letters or emails within 10 days, giving an accurate and meaningful reply. In the case of emails reporting crimes or incidents, we should ensure that queries are flagged on the appropriate system – eg, OASIS logs, IMS,CRIMES etc. This will ensure compliance with the National Standard of Incident Recording (NSIR) and Home Office Counting Rules.


The 10 day deadline has always been and still is an aspiration rather than a target.


There are several types of correspondence with statutory target times, for example:


  • Insurance memorandum of Understanding Enquiries, 40 Days
  • Data Protection Enquiries 40 Days
  • FOI requests 20 working days
  • Court Orders – Time limits dependent upon court orders.


All other correspondence is still covered by the contact counts policy that has not been replaced or updated but has always been an aspiration.
